# Invoice checklist

A practical checklist to run before you send an invoice. Adapt it to your business. It is general guidance, not legal or tax advice, so confirm GST requirements with a chartered accountant.

## Before you create it

- [ ] The customer's legal name, billing address and email are correct
- [ ] The customer's GSTIN is on file if they are GST registered
- [ ] The subscription or order is confirmed and the billing period is clear
- [ ] Prices match the agreed quote or plan, including any discount
- [ ] The place of supply is set, so the right tax (CGST and SGST, or IGST) applies

## On the invoice

- [ ] Unique invoice number from an unbroken series (max 16 characters for GST)
- [ ] Invoice date and due date, matching the agreed payment terms
- [ ] Your business name, address and GSTIN
- [ ] A clear description for every line, with quantity and unit price
- [ ] HSN or SAC code on each line where required
- [ ] Taxable value, tax rate and tax amount shown per line or per rate
- [ ] Total in figures, and in words if your template uses it
- [ ] How to pay: bank details, UPI ID or a payment link
- [ ] Late payment or dispute terms, if you have them

## Before you send

- [ ] Totals re-checked: taxable value plus tax equals the total
- [ ] No other invoice already covers the same period (avoid billing twice)
- [ ] Sent to the right contact, with a reminder date set
- [ ] A copy is saved where your accountant can find it

## After you send

- [ ] Payment recorded against the invoice when it arrives
- [ ] Overdue invoices followed up on the day after the due date
- [ ] Credit notes issued for corrections instead of editing a sent invoice
