# Month-end close checklist for a subscription business

Run this in the first working days of each month. It is a starting point, not accounting advice. Ask your accountant which steps your business needs.

## 1. Billing is complete

- [ ] Every active subscription has an invoice for the period that just ended
- [ ] No subscription was billed twice for the same period
- [ ] New, paused and closed subscriptions are reflected correctly
- [ ] Mid-cycle upgrades, downgrades and prorations are invoiced
- [ ] One-off charges and setup fees are invoiced

## 2. Payments are matched

- [ ] Every payment received this month is recorded against an invoice
- [ ] Bank, UPI and card receipts reconcile to the payments recorded
- [ ] Part payments and advances are tracked, not lost
- [ ] Refunds and credit notes are recorded

## 3. Receivables

- [ ] List of overdue invoices, oldest first
- [ ] Reminders sent for everything past due
- [ ] Doubtful balances flagged for your accountant

## 4. Tax

- [ ] GST collected this month, split by CGST, SGST and IGST
- [ ] Invoice numbers are continuous with no gaps
- [ ] Return due dates noted and figures handed to your CA

## 5. Metrics

- [ ] MRR and ARR at month end
- [ ] New, expansion, contraction and churned MRR
- [ ] Customer count, churn rate and net revenue retention
- [ ] Outstanding receivables and average days to pay

## 6. Wrap up

- [ ] Reports exported and saved for the month
- [ ] Anything unusual written down with a short explanation
- [ ] Pricing, tax or plan changes planned for next month recorded
